About the opportunity

The Group and Events Services Coordinator supports the Sales and Events team by coordinating all administrative and operational aspects of group bookings and special events at Faena.

This role ensures all details are communicated clearly and executed flawlessly by operational departments while providing service support for managers as needed.

This full-time position has an hourly rate of $36.00 per hour.

The work environment involves various physical movements throughout work areas, navigating uneven terrain or confined spaces, and remaining active or sitting at a desk working on a computer for prolonged periods.

Key responsibilities

  • Support the Group Sales and Events team in coordinating all group bookings and event-related activities, including managing inquiries, preparing proposals, and maintaining client communication.
  • Assist and be present for Key Group Moments such as events, group arrivals, and departures while serving as a liaison between clients and operational teams.
  • Coordinate internal communication and distribute documentation such as Banquet Event Orders to Food and Beverage, Banquets, Front Office, Housekeeping, and other departments.
  • Maintain detailed and accurate records of event specifications, tracking event changes, room blocks, cut-off dates, and reservation activity.
  • Ensure all contracts, deposits, and documentation comply with hotel policies, and assist with site visits, client meetings, and property tours.
  • Prepare sales reports, group pick-up reports, event summaries, presentations, and promotional materials while monitoring inventory.
  • Participate in planning meetings, monitor event timelines, and assist with post-event follow-up including billing verification and client feedback.
  • Maximize revenue opportunities through upselling, track event revenue, support forecasting, and maintain strong relationships with clients and planners.
  • Align group arrival and departure details with the Front Office, communicate VIP information, and maintain a clean and organized Sales Office.

Qualifications

  • Minimum 2 to 3 years of experience in hospitality sales, events, or group coordination.
  • Strong organizational and administrative skills with the ability to manage multiple projects simultaneously in a fast-paced environment.
  • Excellent written and verbal communication skills, a professional demeanor, and strong attention to detail.
  • Proficiency with sales and event management systems such as Delphi, Opera, or similar platforms.
  • Proficiency in Microsoft Office including Excel, Word, and PowerPoint.
  • Exceptional organizational ability, strong collaboration with cross-functional teams, and the ability to remain calm and solution-oriented under pressure.

Nice to have

  • Experience in luxury hotels, high-end event venues, or hospitality environments preferred.
